1. Who we are

Work Price is operated by:

For the purposes of applicable UK data protection law, we are the data controller for the personal data we process in connection with your use of Work Price.

2. What information we collect

We collect and process information that is necessary to provide and operate Work Price.

Account and authentication information

Work Price does not require you to create or store a password.

You can sign in to Work Price using:

• Apple;
• Google; or
• your phone number using a one-time verification code.

Depending on the authentication method you use, we may receive and store information such as:

• your first name;
• your last name;
• your email address;
• your phone number; and
• the unique identifier associated with your authentication account.

We process this information to authenticate you, maintain your Work Price account and provide access to your data.

When you authenticate using Apple or Google, the authentication process is provided by Apple or Google respectively. Work Price does not receive or store your Apple or Google account password.

Price lists

Work Price allows you to import, scan or create price lists.

These may include:

• work item descriptions;
• house or plot types;
• numeric work values;
• units or quantities; and
• other information contained in the price list.

The numeric values recorded in Work Price are unit- and currency-agnostic. Work Price does not determine whether a value represents money, hours, units or another measurement.

For example, a value such as 25 may represent £25, 25 hours or another quantity depending on how you use Work Price. The application does not assign a currency or other unit to the value.

If you choose to scan or upload a paper price list, the contents of that document may be processed and stored by Work Price.

Work and progress information

We collect information that you enter into Work Price to record your work, including:

• plots;
• completed work items;
• outstanding work items;
• quantities;
• numeric work values;
• additional works;
• day works; and
• other information you choose to enter into the application.

Work Price does not determine or record the currency or unit represented by a numeric work value.

Generated timesheets

Work Price allows you to generate PDF timesheets.

These may contain:

• your name;
• plot information;
• work completed;
• work item descriptions;
• quantities;
• numeric work values;
• additional works; and
• dates or other information you have entered into the application.

Values in generated timesheets are presented as numbers and are not assigned a currency by Work Price.

Generated timesheets are stored as part of your Work Price account so that you can access and manage them through the service.

Subscription information

Work Price is available through recurring monthly or annual subscriptions.

Depending on where you purchase your subscription, subscription-related information may be processed by:

• Stripe, for subscriptions purchased through the Work Price website;
• Apple, for subscriptions purchased through Apple's App Store; or
• Google, for subscriptions purchased through Google Play.

We use RevenueCat to help manage subscription status and entitlement information across supported platforms.

Work Price does not collect or store your payment card or bank account details.

Payment information is collected and processed by the relevant payment provider, such as Stripe, Apple or Google.

3. How we use your information

We use your personal data to:

• create and maintain your Work Price account;
• authenticate your account;
• provide the Work Price application and its features;
• store your price lists and work information;
• track your work progress;
• generate timesheets;
• allow you to access your data across supported devices;
• manage your subscription and access to paid features;
• maintain subscription status;
• provide customer support;
• maintain the security and reliability of the service;
• prevent misuse or unauthorised access; and
• comply with legal obligations where applicable.

We do not sell your personal data.

We do not use your Work Price work data to build advertising profiles or sell information about your work activities to third parties.

4. Our lawful basis for processing

Under UK data protection law, we need a lawful basis for processing your personal data.

Depending on the particular processing activity, we generally rely on the following lawful bases.

Performance of a contract

We process information necessary to provide Work Price to you under our agreement with you.

This includes your account information, price lists, work progress, timesheets and information necessary to provide your subscription.

Legitimate interests

We may process limited information where this is necessary for our legitimate interests, such as:

• maintaining and improving the security of Work Price;
• preventing fraud, abuse or misuse;
• troubleshooting technical problems;
• maintaining service reliability;
• managing subscription-related issues; and
• defending or exercising legal rights.

Where we rely on legitimate interests, we consider the impact on your privacy and ensure that our interests do not override your rights.

Consent

Where we use non-essential cookies on the Work Price marketing website, such as Google Analytics cookies, we process the related information on the basis of your consent.

You can withdraw that consent at any time using the cookie settings on this website.

Legal obligations

We may process or retain information where this is necessary to comply with a legal obligation.

5. Who we share your information with

We do not sell your personal data or provide your Work Price data to third parties for their own marketing purposes.

However, certain third parties process information as necessary to provide Work Price and its subscription services.

Google Firebase and Google Cloud

Work Price uses Google Firebase and related Google Cloud services for parts of its backend infrastructure, including:

• Firebase Authentication;
• Cloud Firestore;
• Cloud Functions; and
• Cloud Storage.

Your Work Price account and application data may therefore be processed using Google's infrastructure.

We use these services to provide Work Price and configure them with appropriate access controls and security rules.

Stripe

We use Stripe to process subscriptions purchased through the Work Price website.

Stripe may process information such as your name, email address, payment information, billing information, subscription information and transaction information as necessary to process payments and provide its services.

Work Price does not receive or store your full payment card details.

Stripe processes personal data under its own privacy policy and applicable terms. Stripe may act as a data processor or data controller depending on the processing activity.

RevenueCat

We use RevenueCat to help manage subscriptions and subscription entitlements across supported platforms.

RevenueCat may process information such as your email address, user identifier, subscription status, purchase information, product information and transaction-related information as necessary to provide its subscription management services.

RevenueCat may process information on our behalf as a data processor. RevenueCat may also process certain information as an independent data controller for its own legitimate purposes, as described in its privacy policy.

Apple

If you use Work Price on an Apple device or purchase a subscription through Apple's App Store, Apple may independently collect and process information in accordance with Apple's own privacy policy and terms.

This may include information relating to your Apple account, device, purchases, subscriptions, payments and use of Apple's services.

Apple may also provide Work Price with information necessary to authenticate your account when you choose to sign in using Apple.

Apple's processing is governed by Apple's own privacy policy and terms rather than this Privacy Policy.

Google

If you use Work Price on an Android device or purchase a subscription through Google Play, Google may independently collect and process information in accordance with Google's own privacy policy and terms.

This may include information relating to your Google account, device, purchases, subscriptions, payments and use of Google Play.

Google may also provide Work Price with information necessary to authenticate your account when you choose to sign in using Google.

Google's processing is governed by Google's own privacy policy and terms rather than this Privacy Policy.

Google Analytics

If you consent to analytics cookies on the Work Price marketing website, we use Google Analytics, a service provided by Google, to understand how visitors use this website.

Google may process information such as your IP address, browser and device information, pages visited and how you interact with this website.

Google Analytics is not loaded, and analytics cookies are not set, until you give consent. You can withdraw that consent at any time using the cookie settings on this website.

Google's processing is also governed by Google's own privacy policy.

Other service providers

We may use other service providers where necessary to operate Work Price, such as hosting, infrastructure, email, customer support, security or technical services.

Where such providers process personal data on our behalf, we take reasonable steps to ensure that they process the data only for appropriate purposes and provide appropriate security protections.

We do not permit service providers to use your Work Price work data for their own advertising purposes.

6. Data stored using Firebase

Work Price uses Firebase services provided by Google.

Depending on the platform you use, the Work Price application communicates with Firebase using the appropriate Firebase SDK.

Your Work Price data may therefore be transmitted to and stored on Google's infrastructure in order to provide the service.

The Work Price backend uses Firebase services including:

• Firebase Authentication;
• Cloud Firestore;
• Cloud Functions; and
• Cloud Storage.

We configure these services to restrict access to your information and use authentication controls and security rules to help prevent unauthorised access.

7. Where your data is processed

Our Work Price Firebase services and databases are hosted in the London, United Kingdom region (europe-west2).

This includes the Firebase services we use to store and process Work Price account and application data, including:

• Firebase Authentication;
• Cloud Firestore;
• Cloud Storage; and
• Cloud Functions.

We configure our Firebase services to use the London region where regional data storage is available.

Although your Work Price application data is stored in our Firebase infrastructure in the United Kingdom, some third-party service providers that we use to operate Work Price may process personal data outside the United Kingdom.

These providers may include Stripe, RevenueCat, Apple, Google and Google Analytics.

Where personal data is transferred outside the United Kingdom, we take appropriate steps to ensure that the transfer is lawful under applicable UK data protection law.

This may include relying on an adequacy decision, appropriate contractual safeguards or another legally recognised transfer mechanism.

The fact that Work Price stores its Firebase data in the United Kingdom does not mean that information processed independently by third-party providers, such as subscription or authentication providers, will necessarily remain in the United Kingdom.

8. How long we keep your information

We follow data-minimisation principles and do not retain Work Price data for longer than necessary to provide the service.

Active account data

We retain your Work Price account information, price lists and current work information while your account remains active so that you can use the service.

You can manage, export and delete your data from within the application.

Paid work and timesheets

Work Price automatically permanently deletes paid timesheets and additional work items 90 days after they are marked as paid, unless you delete them sooner.

Once this information has been permanently deleted, it cannot be recovered through Work Price.

This retention period allows you to retain access to recently paid work records while avoiding the unnecessary long-term storage of historical work records.

Information you delete yourself

If you delete individual data from within Work Price, we permanently delete that data as part of the deletion process.

Deleting your Work Price account

You can delete your Work Price account directly from within the application.

Before deleting an account, any subscription that is currently scheduled to renew must first be cancelled.

This is necessary to prevent a future subscription payment from being taken after your account and associated service data have been deleted.

Once the account deletion is confirmed, we permanently delete the Work Price data associated with your account.

This includes, where applicable:

• your account information;
• price lists;
• work progress;
• plot information;
• additional works;
• generated timesheets; and
• other data stored as part of your Work Price account.

If your subscription has already been cancelled and you are within the remainder of your current billing period, you may delete your Work Price account without waiting for the billing period to end.

Deleting your Work Price account does not necessarily delete information held independently by third-party providers such as Stripe, Apple, Google or RevenueCat.

Those organisations may retain information where necessary for their own legal, accounting, fraud prevention or other legitimate purposes, in accordance with their own privacy policies.

9. Your rights

Depending on the circumstances, UK data protection law gives you rights including:

• The right to access your personal data.
• The right to correct inaccurate or incomplete personal data.
• The right to delete your personal data in certain circumstances.
• The right to restrict processing in certain circumstances.
• The right to object to certain processing.
• The right to data portability in certain circumstances.
• The right to withdraw consent where we rely on consent as our lawful basis.

Some of these rights are subject to legal conditions and exceptions.

Work Price also provides tools within the application that allow you to manage, export and delete your data.

10. Account deletion

You can delete your Work Price account directly from within the application.

Before deleting an account, any subscription that is currently scheduled to renew must first be cancelled.

Once the account deletion is confirmed, Work Price permanently deletes the data associated with your account.

Account deletion does not cancel an active subscription automatically. You must cancel the subscription before deleting the account.

If your subscription has already been cancelled and you are within the remainder of your current billing period, you may delete your Work Price account without waiting for the billing period to end.

11. Data security

We take reasonable technical and organisational measures to protect personal data against:

• unauthorised access;
• accidental loss;
• destruction;
• alteration; and
• unauthorised disclosure.

Work Price uses authentication controls, database security rules and access controls to help protect user data.

However, no internet-based service can guarantee that information will be completely secure.

You are responsible for keeping access to your account secure and should not share access to your account with anyone else.

12. Your responsibility for information you enter

Work Price allows you to enter, scan and upload information.

You are responsible for ensuring that you have the appropriate right or permission to upload information into Work Price.

For example, a price list or timesheet could contain information relating to another person or organisation. You should only upload information where you are authorised to use it for the purposes of Work Price.

Work Price is designed primarily to help you manage your own work and records and is not intended to be a general-purpose document storage service.

13. Children's privacy

Work Price is intended for use by adults and is not directed at children.

We do not knowingly collect personal data from children.

If you believe that a child has provided personal data to us, please contact us so that we can investigate and take appropriate action.

14. Cookies and similar technologies

The Work Price marketing website uses cookies and similar technologies.

We use a strictly necessary cookie to remember your cookie preferences so that we can respect your choices on future visits.

With your consent, we also use Google Analytics cookies to understand how visitors use this website. Analytics cookies are only set if you accept them.

You can accept, reject or change your cookie preferences at any time using the cookie banner or the cookie settings link in the website footer.

Manage cookie preferences

The Work Price web application may use technologies such as cookies or local storage where necessary to:

• operate the application;

15. Analytics, advertising and tracking

Work Price does not sell your personal data.

We do not use your Work Price work data to provide targeted advertising to you.

If you consent, the Work Price marketing website uses Google Analytics to collect information about website usage, such as pages visited and how visitors move around the site. Google Analytics cookies are only set after you give consent. You can withdraw that consent at any time.

We do not use advertising cookies or targeted advertising on the Work Price marketing website.

If the Work Price applications introduce crash-reporting, advertising SDKs, attribution tools or other third-party tracking technologies in the future, this Privacy Policy will be updated where necessary and the relevant app-store privacy disclosures will be updated.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to:

• Work Price;
• the services we use;
• applicable laws or regulations; or
• how we process personal data.

When we make material changes, we will take reasonable steps to notify users where appropriate.

The latest version of this Privacy Policy will be made available through the Work Price application and/or website.
